This Cancellation and Refund Policy (“Cancellation Policy”) is incorporated into and forms part of the Scout Haus Services Agreement, Property Owner Agreement, Guest / Tenant Terms, and any applicable Booking Agreement governing use of Scout Haus services, platforms, and facilitated bookings. Please read this policy carefully. You may not book, list, or use Scout Haus services if you do not agree to this Cancellation Policy.
Scout Haus is designed to efficiently connect Guests with distinctive properties and to help Property Owners optimize booking opportunities. Every confirmed Booking represents a commitment by the Property Owner to make a Property available to a Guest, and a commitment by the Guest to honor the reserved dates and terms. When Bookings are cancelled, availability is often difficult to replace on short notice, particularly for premium, curated properties.
Nonetheless, plans may change. This Cancellation Policy outlines how cancellations and refunds are handled for all Scout Haus–facilitated bookings.
This Cancellation Policy applies to all bookings facilitated directly by Scout Haus or through Agent-controlled platforms, and, where applicable, supplements third-party platform cancellation rules. In the event of a conflict, the applicable third-party platform’s cancellation policy shall govern bookings made through that platform.
Scout Haus reserves the right to amend this Cancellation Policy at any time by posting an updated version. The Cancellation Policy in effect at the time a Booking is confirmed shall apply to that Booking.
CANCELLATION POLICY FOR SCOUT HAUS BOOKINGS
Unless otherwise expressly agreed in writing, all Scout Haus bookings are subject to the following Standard Cancellation Policy:
Full Refund if the Booking is cancelled at least thirty (30) days prior to the scheduled check-in or event start time.
Fifty Percent (50%) Refund if the Booking is cancelled at least seven (7) days prior to the scheduled check-in or event start time.
No Refund for cancellations made less than seven (7) days prior to the scheduled check-in or event start time.
Refund eligibility is determined based on the originally scheduled check-in or start time, regardless of partial use, early departure, or non-use.
BOOKINGS MADE WITHIN THE CANCELLATION WINDOW
For Bookings made less than thirty (30) days prior to the scheduled start time:
Bookings cancelled seven (7) or more days prior to start time are eligible for a 50% refund.
Bookings cancelled less than seven (7) days prior to start time are non-refundable.
CANCELLATION PROCESS AND CONFIRMATION
A Booking is only considered cancelled once cancellation has been confirmed in writing by Scout Haus or through the applicable booking platform.
Cancellation requests must be submitted through the designated booking platform, Scout Haus booking system, or written confirmation channel specified at the time of booking. Cancellation requests submitted via informal messages, phone calls, or third-party communications are not valid unless confirmed in writing.
SERVICE FEES AND NON-REFUNDABLE AMOUNTS
Scout Haus service fees are earned upon confirmation of a Booking and are non-refundable, except where expressly required by law or agreed in writing by Scout Haus.
The following amounts are not considered part of Gross Booking Revenue and are handled as pass-through charges:
Cleaning fees
Security deposits
Damage fees
Taxes
Insurance or protection fees
Third-party platform fees
Payment processing fees
Optional add-ons or services
Refunds, if applicable, are calculated based on the refundable portion of the Booking Price only.
SECURITY DEPOSITS
If a security deposit is required, it will be collected through the applicable booking platform or payment processor. Security deposits are not part of the Booking Price and are not subject to this Cancellation Policy unless damage or violations occur. Release timing may vary by platform or payment method.
MULTI-DAY AND MULTI-NIGHT BOOKINGS
For multi-day or multi-night Bookings, cancellation deadlines apply based on the scheduled start time of the Booking. Partial cancellations or unused days do not alter refund eligibility unless expressly agreed in writing.
THIRD-PARTY PLATFORM BOOKINGS
Bookings made through third-party platforms are governed by the cancellation and refund policies of those platforms. Scout Haus does not override third-party platform policies and is not responsible for platform-determined refunds, credits, or disputes.
HOST / OWNER-INITIATED CANCELLATIONS
If a Property Owner cancels a confirmed Booking without valid cause:
The Guest shall receive a full refund of all amounts paid.
Scout Haus reserves the right to recover incurred costs, withhold payouts, or assess penalties consistent with its agreements with the Owner.
Repeated Owner-initiated cancellations may result in suspension or termination of listings.
EXCUSED CANCELLATIONS
Scout Haus may, in its reasonable discretion, approve an excused cancellation due to extraordinary circumstances beyond the reasonable control of the Guest or Owner, including but not limited to:
Serious illness or death of a Guest, Owner, or immediate family member
Severe property damage rendering the Property unsafe or unusable
Government orders, natural disasters, or declared emergencies directly impacting the Booking
Legal or regulatory actions preventing lawful use of the Property
Where approved, refunds or credits may be issued at Scout Haus’s discretion.
CHARGEBACKS AND PAYMENT DISPUTES
Guests initiating credit card chargebacks contrary to this Cancellation Policy may have their accounts suspended pending resolution. Scout Haus reserves the right to contest chargebacks and recover related costs.
RESCHEDULED BOOKINGS
Rescheduling is subject to mutual agreement of all parties and Scout Haus approval. If a Booking is rescheduled, the cancellation policy will be recalculated based on the new booking date. Subsequent cancellations may be evaluated based on the circumstances.
GOVERNING TERMS
This Cancellation Policy is governed by and interpreted in accordance with the Scout Haus Services Agreement and applicable law. Scout Haus acts solely as a booking and coordination agent and is not a party to the underlying agreement between Guest and Property Owner.
